ERPNext Implementation in Belgium: What to Expect

Belgian Chart of Accounts
ERPNext ships with a standard Belgian Chart of Accounts (MAR — Minimum Algemeen Rekeningenstelsel / Plan Comptable Minimum Normalisé). During implementation, we map your existing accounts to this structure, set up your cost centres, and configure the profit and loss and balance sheet reports to match Belgian reporting requirements.
If you're migrating from an existing system (Bob50, Exact, Winbooks, or Odoo), we handle the data migration — including opening balances, customer/supplier master data, and historical transactions where needed.
VAT Configuration
Belgian VAT is straightforward for domestic transactions but gets complex quickly when you trade across EU borders. ERPNext handles:
- Standard Belgian VAT rates — 21%, 12%, 6%, and 0%
- Intra-community supply (ICL) — reverse charge mechanism for B2B sales within the EU
- Intra-community acquisition (ICA) — VAT self-assessment on EU purchases
- VAT on imports — customs duties and import VAT from non-EU countries
- Periodic VAT return — monthly or quarterly filing support

E-Invoicing (Peppol / UBL)
Belgium is mandating B2B e-invoicing from January 1, 2026 (for VAT-registered businesses). The standard is Peppol BIS Billing 3.0 using UBL (Universal Business Language) format.
ERPNext's Frappe framework makes it possible to generate UBL-compliant XML invoices and route them through the Peppol network. We integrate this during implementation so your sales invoices are automatically available in the correct electronic format.
Multi-Language and Multi-Currency
A Belgian business typically needs its ERP in at least two languages (Dutch and French), with English as a third for international operations. ERPNext supports full multi-language interfaces, and all print formats (invoices, delivery notes, purchase orders) can be generated in the customer's preferred language.
Multi-currency is similarly native — useful for businesses importing from non-eurozone suppliers or selling to Swiss, UK, or US clients.
Typical Implementation Timeline
For a Belgian SME (10–50 users), a full ERPNext implementation typically follows this timeline:
Weeks 1–2: Discovery and scoping. We map your current processes, identify the modules you need, and plan the data migration.
Weeks 3–6: Core setup. Chart of accounts, tax configuration, item master, customer/supplier import, warehouse structure, and role-based permissions.
Weeks 7–10: Process configuration. Workflows for purchasing, sales, inventory, and manufacturing (if applicable). Custom doctypes for any business-specific requirements.
Weeks 11–12: Testing and training. User acceptance testing with real scenarios, training sessions for each department, and parallel running with your existing system.
Week 13: Go-live. Cutover to ERPNext as the primary system, with support for any issues that arise in the first weeks.
Total: approximately 3 months for a standard implementation. Complex projects (multi-company, manufacturing with BOM, extensive custom development) may take 4–6 months.

ERPNext licensing is free (MIT open source). Your costs are:
- Implementation services — discovery, configuration, data migration, training
